I am writing this letter to provide you information on one of the parties held at your venue by XYZ Ltd. on December 30, 2020, at 7 pm. We held this party to acknowledge the efforts of one of our senior managers who is retiring after twenty-five years of service. As a new joiner with this firm as an event planner, I reached out to your restaurant based on the recommendation of one of my colleagues. However, I experienced a lot of issues with the food and services with your staff.
Before making any final arrangements with the restaurant, I have explicitly stated my requirements to your venue manager, which included having four appetizers, four main-course, and two dessert items with some dietary restrictions. I communicated in-person as well as in my emails that we have some members who are vegan and their food choices must be accommodated. I placed a special request for one vegan appetizer and main-course without mushroom as one of the vegan members is allergic to this. During the party, I realized that the restaurant served the egg-rolls as an appetizer which had egg-white. Furthermore, the other so-called special ordered vegan appetizer, vegetarian tempura, had shredded mushroom in it. In a nutshell, out of 4 vegans, one member was not served with any appetizer at all.
Not only this, but I have also discussed that I would need some manpower by the end of the party to clean the venue and relocate the furniture, as I was the only one from my workplace who was planning the party. And as soon as the party ended at 9:30 pm, I went to the front desk to seek assistance and found no one to entertain my request. I had to complete that task on my own, even though I paid extra for some help.
As I mentioned earlier, I am new in this town and reached this restaurant as suggested by my colleagues. I also learned that the location of your restaurant makes it accessible for our office-folks to organize parties there. I want to maintain this relationship in near future, that is why I would like you to personally investigate these issues. If there is any miscommunication from our side, please let us know so that we can be cautious in the future. And if there is some error on your employees' behalf, please address this issue on an urgent basis. I would also like to bring to your attention that I have paid $150 for the human-services during after-party hours that I never availed, so if you can adjust this amount either in future reservations or reimburse this amount to the company's account, I would appreciate that.
I am also attaching the recepts of the payments, pictures of the venue which shows that I had no labor with me at 9:45 pm, as well as the email that I shared with your venue manager before the event.
