You recently spent the night at an expensive hotel. There was a problem with your room, but the hotel staff was unable to do anything about it.

Write a letter to the hotel manager. In your letter

- describe the problem.
- explain what happened when you asked the hotel staff for help.
- say what you would like the manager to do.

Dear Sir or Madam,

I am writing to express my dissatisfaction over my stay at your hotel last week.

I booked one king room for June 18, 2018 at your establishment for 2 adults and 1 child and paid $50 extra for a beach side view. I checked-in with my family at around 8pm. After 2 hours, I switched-on the AC and realized that it was not working. I called the reception and asked them to send someone to have a look at it.

To my surprise, nobody came to the room until midnight, despite my continuous calls. And when the help arrived, he said he cannot fix the AC as its machinery seems to be damaged. I asked to give me some other room, but they bluntly refused stating that the hotel is fully booked. When I pushed further, they told me a business suit is available for double the price I paid for my room. It certainly did not feel justified to be asked for more money for a new room. But, given that I was staying with my 3-year old daughter and wife, I had to switch and pay extra for their comfort.

This was a highly disappointing incident, given that your hotel has such a great reputation. I would suggest you to keep a check of these things in future and train your staff to be more transparent and understanding. A bad service can lead to a bad word-of-mouth, costing you new prospective customers. Also, I believe it is not inappropriate to ask for the refund of the extra money I paid for the new room as I was not at fault.

Look forward to hearing back from you.

Yours sincerely,
Paul
