Dear Sir,

I am writing this letter to inform you about the complaints we have been receving for reception area which has became an issue for visitors.We have to resolve the problems at the earliest as it may have a serious impact on our business and also afect our reputation among clients.

Visitors often complaint about the avalibility of the person at the desk which sometimes is not present and results in creating confusion among our clients.Along with this they have also raised concerns about information that has been passed which is often incorrect and creates unneccessary delay in their business.Reception area is the heart of our organisation as it is a central desk where all information should be avilable and also it must be the face of our oraganisaton where people can trust and we might be able to resolve thier problems without any ramifications.

We must act strongly to imrove the condition, firstly we should hire new people who should be aware of all information along with this they must have a good communication skill.Secondly we can provide brochure for self help and can have resources in rotational shifts which will ensure avialblity of person at reception.
Achieving these two task will not be difficult as we have a good structure to hire and train people.

Dear John,

I am writing this letter to draw your attention to serious problem of reception area which is complained by many patients.
We have to rectify this otherwise this will impact the hospital reputation.

The reason people complained for reception because they are not getting proper information for hospital. Also they complained about the availability of receptionist . Also the area near reception is not spacious. Visitors often complain for crowded space and unavailability of doctors. The appointment section in reception is also very slow as per the patients.

Firstly we should work as a team to improve these problems. We should have some rules and timing fixed for doctor's appointment . Secondly we should hire more staff for reception to make sure availability in 24/7 shift. We should train them on skills and communication as well. Thirdly we should expand the space near reception area so that it improves the visibility.
