Dear Mr. James,

I am writing to seek your authorization to reserve a meeting room for two hours on 26th December.

With regard to the need of the room, myself and Rosy are planning to organize a team event and we need a dedicated space to run the activities smoothly. Also, this team collaboration programme will have several tasks to be performed and may interrupt other teams if carried out at workstations. Therefore, it is essential to book a separate room.

As far as the details of the room are concerned, it would be a good idea to book the meeting room 'CBC1' on the ground floor because this room is spacious enough and can accommodate all the team members. In addition to this, this room is equipped with a mike, speakers and a whiteboard and will help us to connect with the audience.

In order to use this conference room for this event, we need to adjust the furniture. For instance, a large meeting table will be put aside during the activities. I hope you would have no concerns with such a room arrangement and grant your approval to book this meeting room. We assure you to reorganize the room in its original setting after this event.
