There have been several complaints about the reception area where the visitors to your company arrive. Your manager has asked you to suggest how the reception area could be improved.
Write a letter to manager.
Describe the complains that have been received.
Say why the reception area is important.
Suggest how it could be improved.
Dear Raj,
I am Aparna Kanavaje, one of your employees, working at London city Centre office as a receptionist. As discussed in our last monthly meeting held on 2nd of November, we are supposed to solve the complains received from the visitors about the reception area and overall arrangements at the place. I am writing this letter to provide some suggestions related to the improvement for the front desk area.
Guests who have visited last month gave me a few complaints such as huge waiting time due to the single receptionist, overcrowded place in peak hours, an uncomfortable sitting arrangement and suffocation due to lack of ventilation process.
Reception is the key area for any of the organisations as this is the first place where visitors come to enquire. Cleanliness, spacious architecture and comfortable environment are the crucial factors guests seek for. Company’s reputation is generally judged by the front desk area before proceeding further for any deal. Hence, it really plays a substantial role in the positive mindset of the clients.
Therefore, I request you to expand the reception desk. Hiring one more receptionist would be a better option to lessen the workload. Additionally, removing unnecessary old infrastructure and arranging modern sitting arrangement would be appreciable.
I am looking forward to hearing from you at the earliest.
Yours Sincerely,
Alina Alex.
