There have been several complaints about the reception area where visitors to your company arrive. Your manager has asked you to suggest how the reception area could be improved.

Write a letter to your manager.

In your letter

describe the complaints that have been made

say why the reception area is important

suggest how the reception area could be improved

Dear Sir,

I am writing this letter in regard to the complaints received from our clients visiting our office about the reception area. As you are aware, both reception area and travel desk are adjoining and looks quite similar, the visitors are usually misled and end up inquiring at the travel desk about their general issues.

Reception area always has a huge impact on the client walking in for the first time. Its an irrefutable fact that it is the most important area in the office as it serves the answers to queries clients walk in with. Also it should be big enough to attend at least three to four clients at a time. With the current reception area we are unable to do which in turn keeps the client waiting and makes them restless.

I suggest you to make some amendments in the location of current reception area and bring it in the front of travel desk. Moreover, the size of the reception table should be increased and number of seating should be added to make the clients comfortable while they are waiting to be attended.

I am looking forward for the changes being implemented.

Thanking you

Yours sincerely,

Ravneet Bhatia
